The challenge

Destination Canada, the national organization responsible for marketing Canada as a premier travel destination, recognized the need to modernize its technology infrastructure to support more efficient workflows. With an ambition to enhance operational efficiency and maximize team productivity, the organization sought to integrate Microsoft Copilot into their existing Microsoft 365 ecosystem.

However, the adoption of AI tools presented several challenges:

  • Assessing AI Opportunities: Identifying scenarios where AI could deliver the most value in automating repetitive tasks and optimizing collaboration.
  • Ensuring Technical Readiness: Preparing IT systems to align with strict Canadian data residency and governance requirements.
  • Building Stakeholder Buy-In: Demonstrating Copilot's potential to stakeholders and gaining alignment across departments.

Without a clear roadmap and technical preparation, Destination Canada faced potential inefficiencies and gaps in leveraging AI to its full potential, which could hinder their ability to achieve meaningful business improvements.

Our approach

Destination Canada wanted Microsoft Copilot working across its Microsoft 365 environment, but as a national organization it had to do that inside strict Canadian data-residency and governance rules, and with real buy-in from teams rather than a top-down mandate. BITSUMMIT's Professional Services team ran a Copilot Readiness Assessment to get the technical, compliance, and people sides ready together.

Find where Copilot actually helps

BITSUMMIT reviewed how teams were using Microsoft 365, evaluated data governance, security policies, and compliance against Canadian regulations, and identified the high-impact use cases, such as automating campaign management and improving cross-team collaboration, where Copilot would earn its place.

Get the environment ready and compliant

Data access controls were tightened to meet Canadian residency and security requirements, and the IT infrastructure was prepared to integrate Copilot securely and cleanly, so the rollout would not run into compliance or compatibility surprises.

Bring people with it

Interactive workshops tailored to different teams showed Copilot doing their real work, which built genuine alignment and enthusiasm ahead of any wider deployment.

Plan the rollout

BITSUMMIT delivered a detailed roadmap that prioritized the highest-impact scenarios in marketing and campaign management, with clear milestones and timelines for organization-wide deployment.

The outcome

Within three months of deployment, 85% of Destination Canada's employees were actively using Microsoft Copilot, and teams were spending up to 30% less time on repetitive tasks, freeing them for more strategic work.

The gains went beyond individual productivity. Better cross-department communication accelerated campaign execution, and Copilot's AI-assisted insights sharpened decision-making toward more effective, higher-impact marketing campaigns. The readiness work also left Destination Canada with a clear, compliant path to extend Copilot further across the organization.

85% of Destination Canada's people were actively using Microsoft Copilot within three months - repetitive work down 30% and campaigns moving faster across teams.
