Position Summary
We’re looking for an exceptional Project Coordinator to be the engine behind successful project execution. In this role, you won’t just take notes—you’ll drive momentum, keep timelines tight, and ensure nothing falls through the cracks. You’ll be embedded in a high-performance delivery environment, supporting critical projects across business and IT, and acting as the connective tissue between stakeholders, teams, and leadership.
This hybrid role requires a minimum of 3 days per week onsite in Oakville, ON. You’ll be a go-to partner for Project Managers and a key player in helping high-stakes initiatives stay organized, informed and on track.
Job Description
Project Execution & Coordination:
- Own the coordination of project deliverables—track timelines, milestones, action items, and follow-ups with precision.
- Set the pace: drive meeting agendas, capture critical decisions, and ensure accountabilities are followed through.
- Coordinate logistics for cross-functional team meetings, workshops, and stakeholder sessions.
- Support project onboarding and off boarding processes, ensuring teams are equipped and informed.
Reporting & Communication:
- Create and maintain high-quality status reports, dashboards, and project artifacts that give leadership instant clarity.
- Proactively surface blockers, risks, and gaps—before they become problems.
- Act as a trusted communication bridge between business, technical, and delivery teams.
- Elevate project visibility through strong documentation, executive ready summaries and regular updates.
Process & PMO Support:
- Champion use of standardized project delivery tools and templates.
- Maintain organized, auditable records in SharePoint, Teams, or other collaboration platforms.
- Continuously refine internal processes to improve efficiency, agility, and team productivity.
- Contribute to lessons learned and post-project reviews that raise the bar on delivery performance.
Required Experience
Key Qualifications & Experience:
- 3+ years of direct experience in a project coordination or delivery support role, ideally in fast-paced, matrixed environments.
- Strong grasp of project lifecycles (Waterfall, Agile, or hybrid) and the discipline to manage moving parts confidently.
- Advanced skills in Microsoft Office (Excel, Powerpoint, Outlook) and collaboration platforms like MS Teams and SharePoint.
- Exceptional organizational and time management skills—you live by your checklist.
- Polished communication skills—you know how to speak to SMEs, stakeholders, and executives alike.
Preferred Qualifications:
- Post-secondary education in Business, IT, or a related discipline.
- Exposure to tools like Teamwork, Smartsheet, MS Project or equivalent tracking systems.
- Certification or coursework in CAPM, PMP, SAFe® or Agile delivery in asset.
Work Environment & Additional Details
- Location: Oakville, ON — Hybrid model with minimum 3 days per week onsite.
- Work Schedule: Standard business hours (Monday to Friday) with occasional flexibility as project needs evolve.
- Work Setup: All tasks will be performed using company-provided systems and communication platforms.
- Team Structure: You'll work closely with Project Managers, SMEs, and business leads within a structured PMO environment.
